Importance: Policies and procedures are an essential part of any organization. They ensure compliance with laws and regulations, give guidance for decision-making, and streamline internal processes. Together, policies and procedures also provide a roadmap for day-to-day operations and mitigate risk.

Fit for Purpose: You will need to find the right balance of P&Ps for your specific church. For instance, a smaller church may only implement the high risk P&Ps like employee hiring / terminations and children's ministry volunteer screening while a large church may want to implement a much broader base of P&Ps.

Defendable: You want to ensure you have good P&Ps in place that are followed so the church can defend against unexpected lawsuits. For instance, a visitor claims their child was abused while in the care of a church volunteer or a church employee believes they were terminated unlawfully. Recently there was a case when a simple employee termination was not processed within compliance of federal law, the former employee filed a law suit and won a judgement of over one million dollars.

Document Types: The main types are: Policy(required to be followed), Guideline (recommended by not required), Procedure and Form. It's important to use the correct document type to mitigate risk. For instance only use a policy if you know it can be followed, if you're not confident it can be followed consider calling it a guideline. Consider how to defend while in court to help assist if you should have a policy or guideline. It would be harder to defend a policy that you did not follow then if you didn't follow a guideline. On the other hand if you have a high risk or highly regulated area and only have a guideline it may be difficult to defend why it wasn't a policy. NOTE: You can change any policies we have into a guideline or a guideline into a policy to fit your need.

Maintenance: It's important to have all P&Ps reviewed at a set interval. High risk and highly regulated areas such as employer laws should be review annually.

Legal: It's important to have a legal review for high risk and highly regulated areas by an attorney in your state. For a small legal fee we can provide reviews as needed, more below.
